Position : Administrative & Clerical Officer

Band : Band 3

Location : South Eastern Trust areas, Bangor, Newtownards & Dundonald

Hours : Full-Time , 37.5 hours Mon-Fri

Experience Qualification:

- Minimum 4 GCSE's Grades A-C, including English Language or equivalent qualification.

- 1 year's administrative/clerical experience required, 2 years preferred.

- 1 year's word processing experience.

- Proficiency in Microsoft packages: Word, Excel, Outlook.

Responsibilities:

- Input and extract patient information systems efficiently.

- Prioritize and schedule patient appointments/admissions.

- Maintain diaries, process incoming mail/email accurately and timely.

- Communicate effectively with clinical, nursing, and administrative staff.

- Supervise and allocate tasks, provide assistance to team members.

- Assist in training and induction of new staff.

- Implement Trust policies and procedures.

- Participate in quality improvement initiatives and new system implementations.

- Prepare statistical information, handle information requests.

- Identify and address concerns, maintain filing systems.

- Arrange and minute meetings, handle general office duties.

- Attend team meetings, mandatory training sessions, and relevant courses.

Requirements:

- 12 months minimum experience within an Administrative or Clerical role

- GCSE Maths & English or equivalent

- Proficient IT skills including use of Word & Excel

- Strong communication and organizational skills.

- Ability to prioritize workload and work efficiently within a team.

- Familiarity with healthcare administrative processes is advantageous.

- Commitment to upholding Trust policies and procedures.

- Ensure access to skills and personal development through appropriate training and support

- Proactive attitude towards ongoing learning and development.
