This role will suit a candidate who is a go-getter, who wants to be the lynchpin of an office, someone who can streamline processes and keep many plates spinning. Duties Include:
Team Management and Development
Team Oversight and Training: Supervise and develop team members to ensure high performance levels.
Policy and Procedure Compliance: Model and enforce adherence to company policies and procedures within the team.
Staff Induction: Ensure thorough induction of all new employees into company policies and procedures.
Training Programs: Design and implement training programs to enhance staff skills and knowledge.  
Systems and Processes
Professional Standards: Promote high professional standards through the "Raise the Bar" program, leading by example.
Manuals Management: Update office and paralegal manuals regularly and provide relevant training..
Timesheet Management: Ensure paralegal timesheets are submitted and approved by Friday evening.
Policy Review: Regularly review and update company policies to address business needs.  
Budget and Financial Management
Weekly Budgets: Monitor and manage weekly budgets against billable hours, taking necessary actions.
Semi-Annual Budget Reports: Prepare budget versus billable hours reports for each lawyer every six months.
Annual Budget Reports: Develop annual budget versus billable hours reports for each lawyer.  
Information Management
Referral Tracking: Maintain and manage an updated referral table.
Enquiry Follow-Up: Ensure new enquiries are followed up with a verbal response and email within 24 hours.
Email Management: Oversee and action items in the admin and accounts inboxes.
Staff Information Maintenance: Keep an up-to-date table with key staff details, including start dates, remuneration, budgets, and review schedules.  
Invoice and Financial Processes
Invoice Approval: Verify incoming invoices and either process them or forward them for payment.
Disbursement Reconciliation: Ensure all disbursements are claimed and reconciled.
Bookkeeping Coordination: Ensure all invoices are sent out by the third business day each month.  
Marketing Initiatives
Google Marketing: Evaluate and recommend improvements for Google marketing initiatives and analytics.
Website Management: Oversee the development and updates of the new IL website.  
General Responsibilities
Diary Management: Assist with managing MD's diary as needed.
Recruitment: Manage recruitment activities, including advertising, candidate assessment, recommendations, and application follow-ups.
