AutogenAI, the leader in linguistic engineering, is looking for a passionate and motivated Events Coordinator to join our U.S. team. This exciting role will see you involved in managing and overseeing various AutogenAI events throughout the the US with the goal of creating new business as well as developing and maintaining relationships with prospective and current clients.   
Key Responsibilities include:
Strategic development of the ongoing calendar of corporate events 
Create a marketing strategy to ensure a successful turnout and engagement of attendees. 
Handle end-to-end event logistics, including venue selection, vendor management, budgeting, timeline development, and on-site coordination.  
Handle promotional activities like social media, email, content marketing, and partnerships 
Spearhead internal communications with other departments like Sales, Business Development and C-suite etc. 
Be in charge of sending invites and confirmation emails. 
Manage event budgets and handle accounting needs including team expense submissions, invoicing, payments, organization, and tracking. 
Secure cost estimates of different items, products, and services for vendors related to the upcoming event. 
In charge of securing and purchasing swag bags for guests, materials, services, and vendors for the event.  
Be the event’s main point of contact and main information collector. 
Provide suggestions on how to improve the event implementation strategy 
Liaise with vendors like caterers, photographers, design, audiovisual needs, etc 
Manage timelines to ensure event deliverables are on time. 
Proactively give excellent service to event attendees and stakeholders 
Assist with volunteers for events. Ensure clear communication, management, and follow-up. 
Conduct post-event follow-ups, evaluations, and relationships with vendors and sponsors. 
Requirements
3+ years of in-depth event planning experience. 
Must have excellent verbal and written communication skills as well as excellent attentive listening skills and a friendly relationship-building capacity. 
Needs to have excellent negotiation and conflict resolution skills.  
Strong communication and interpersonal skills, with the ability to build relationships with various stakeholders. 
Must have strong organizational abilities and the capacity to manage various events, budgets, projects and vendors and prioritize tasks effectively. 
Ability to work independently. 
Ability to adapt to a fast-paced environment. 
Must be able to demonstrate knowledge of event tools and resources as well as be curret with the latest events industry trends. 
Must be adaptive and resilient in dealing with unexpected challenges. 
Certifications such as CPM, CSEP and CQEP are a big plus. 
Experience with Canva or other similar design platform, a plus. 
 
Benefits
Salary: $75,000 - $85,000 (based on experience). Comprehensive benefits, 401K, and PTO package are also included.
