We are currently looking for a friendly and detail-oriented office coordinator who is highly organized. In this role, you will be crucial in ensuring the efficient operation of our office in Monroeville. This is a great opportunity for you to provide vital support to our employees and clients on a variety of tasks and initiatives. As an office coordinator your responsibilities will include answering phones, managing schedules, coordinating meetings and events, working with vendors, handling correspondence, and maintaining records. This position requires the person to be in the office everyday in order to keep the office running smoothly.
Responsibilities include:
Greet and assist visitors when they arrive at the office.
Answer inbound telephone calls, route calls, take messages, create service tickets in ConnectWise Manage software for support calls, and communicate high priority support calls to appropriate staff members.
Pick up mail and distribute it within the office and send outbound mail and packages as needed.
Prepare and mail various bulk mailings to clients and prospects.
Monitor office supply inventory and place orders.
Maintain and order kitchen supplies, and keep kitchen clean, neat, and orderly.
Assist in vendor relationship management.
Communicate office cleaning needs with building cleaning service.
Communicate staff schedules and off-hour assignments to answering service.
Coordinate office events including coordinating food orders and food deliveries.
Prepare communication such as emails, documents, reports, and other correspondence.
Coordinate and schedule travel, meetings, and appointments for managers.
Print and mail invoices to customers as needed.
Print and mail manual checks to vendors.
Assist with collection and review of employee expense accounts.
Maintains orderly filing system as assigned.
Provides back-up for Service Coordinator
Requirements
Preferred candidates for this role will have:
High school diploma or equivalent required. Additional education is preferred.
3+ years of experience as an office coordinator or a similar role is preferred.
Proficient in Microsoft Office software (Word, Excel, Outlook, and Teams) required.
Basic understanding of operating standard business equipment.
Experience with ticketing software preferred.
Demonstrates interpersonal and customer service skills.
Excellent verbal and written communication skills.
Excellent organizational and problem-solving skills.
Ability to work independently and as a strong team member.
Ability to handle pressures, meet deadlines, multitask, and prioritize.
Maintains confidentiality of all Confidential Information.
